A private individual is looking to hire an Executive Personal Assistant with extensive experience to assist a high-profile CEO. The perfect candidate should possess exceptional intelligence, creativity, attentive listening skills, critical thinking abilities, and effective time management. This role entails working closely with the male CEO and maintaining a 24/7 availability to support both personal and professional responsibilities. The preferred candidate will demonstrate strong organizational skills, discretion, and the ability to proactively address the CEO’s needs with accuracy and efficiency.
Responsibilities:
- Manage complex schedules, appointments, and logistics for household and office staff.
- Keeping track of expenses, creating detailed reports related to all spending
- Managing travel itineraries; Travel (Business/Personal/Family) – often complexDrafting email/mail correspondence
- Be available to respond to any emergencies or urgent matters that may arise, including during off-hours. Provide solutions quickly and effectively, ensuring minimal disruption to the principal’s schedule.Overseeing any renovations and construction projects in other residences
- Running any personal errands, special requests, gift purchasing, and any other related duties
- Managing very private information related to the corporate and personal life of the executive
- Maintain the highest level of confidentiality in all matters, ensuring the principal’s privacy and security are upheld at all times.
- Act as the primary point of contact for the principal, managing all incoming and outgoing communications. This includes responding to emails, phone calls, and messages promptly and professionally.
- Act as a gatekeeper, managing emails, drafting correspondence, and organizing files.
- Working alongside of team that supports the executive in the corporate office
- Oversee financial reconciliations and collaborate with the Family Office for bill payments.
Working hours are typically Monday to Friday from 9 AM to 5 PM. The office is situated in the principal’s private home office in Sunset Island, Miami, FL. Candidates must be at ease working in person at the family office or the private home office, as well as being self-disciplined to work remotely when required. Requirements:
- Minimum of 10+ years of related experience working as an Executive or Personal Assistant
- Bachelor’s Degree
- Excellent references from both current and previous employers
- Strong communication skills, both written and verbal
- Must be tech-savvy; includes computers and other electronic devices
